We are seeking a detail-oriented and motivated administrative assistant to provide support to our team, specializing in billing processes. The ideal candidate will be a versatile professional responsible for managing billing operations, preparing and sending invoices, and maintaining accurate financial records. Strong attention to detail, organizational skills, and proficiency in accounting software are essential for success in this role.
Job Responsibilities
Prepare, generate, and send client invoices; review billing documents for accuracy; apply discounts and adjustments as applicable.
Ensure any billing process inquiries are handled quickly and efficiently.
Monitor and review outstanding bills and follow up with the appropriate internal team to ensure payment is made.
Preparing various reports and spreadsheets related to billing.
Work with the Accounts Receivable team to ensure timely and accurate processing of payments.
General word processing, spreadsheets, PowerPoint presentations, Outlook calendar coordination, etc., using all functions of Microsoft Office Suite.
General administrative office skills including typing, collating, filing, mailings, miscellaneous requests.
Additional Responsibilities may include:
- Reception desk duties, greeting clients and visitors.
- Screen incoming phone calls and route calls to the appropriate party.
- Maintain confidentiality and personal and sensitive data.
- Provide exceptional customer service.
- Maintain digital filing systems as assigned.
- Receive and distribute incoming faxes.
- Process incoming and outgoing mail, including FedEx and certified mail.
- Adapt to evolving administrative tasks as technology changes and upgrades occur.

- Responsibilities occasionally may require an adjusted work schedule, long days or evening/weekend hours to meet deadlines, especially during the Firm’s tax season (January through April). Extended workweeks and overtime must first be authorized by the Firm Management.
Job Qualifications
Associate’s degree required; Bachelor’s degree in related field preferred.
Advanced technology skills.
Proficient in Microsoft Office Suite, Adobe. Wolters Kluwer and Thomson Reuters accounting
products a plus.
Minimum of three to five years of experience in an administrative role.
Familiarity with a professional services firm and/or accounting experience.
Must successfully complete a background check.

Schedule: Monday to Friday 8:30-5:00 p.m.
Ability to Relocate: Holyoke, MA 01040: Relocate before starting work (Required)
